Excel - Combine Data From 2 Different Spreadsheets With a VLookup

A vertical lookup is an extremely useful - but little-used - feature of Excel. It allows you to link data arranged in a table to data in your spreadsheet by matching a field contained in both the table and the spreadsheet - for example: an i.d. number, a last name, a zipcode, etc.

For example, say you have a spreadsheet that lists your employees and their home addresses, and another spreadsheet that lists your employees and their work departments. Suppose you want to put that information together - have one spreadsheet containing both the home address AND the department information. Vlookup will use a field that both spreadsheets have - in this case the employee name - and look up the information (the department) in the second spreadsheet and display that information (the department) in the first spreadsheet.

Here's how to do it:

Copy the second spreadsheet onto a worksheet in the first spreadsheet, so that the information is all in the one Excel file, but on different worksheets (tabs). Sort the data on the second spreadsheet in ascending order, on the employee name field. Now you want to look up each employee's department and put it on the spreadsheet with the employee's address.

On the first worksheet (with the employee name and address), type in a header for Department.

In the cell under the header, type in the formula for vlookup: =VLOOKUP(lookup_value,table_array,col_index_num,[range_lookup]) Look_up value is the cell address of the field the two worksheets have in common - in this case, the employee name.

Type a comma (very important!)

Table_array is the table that contains the department name for the employees - in this example, you've placed it on another worksheet (tab) in this file. To enter this information into the formula, go to the worksheet the table is on and select the entire table (you can hold the mouse button down and run the cursor over the table: Excel will enter it automatically). Turn this address into an absolute address by typing a $ in front of the letter and the number of the cell address - for example, A1:B156 would become $A:$B6.

Type a comma (very important!)

Col_index_num is the number of the column in the table that contains the information you are looking for. In this case it's "2" because the department information is in the second column of the table.

Type a comma (very important!)

Type FALSE. This tells Excel to return a department from the table only if the name is an exact match. If you type TRUE, if there is not an exact match, Excel will return the closest one. Type a close parenthesis ) to end the formula, and press Enter.

You will be returned to the first worksheet. The cell containing the vlookup formula will now display the department for the employee. Copy the formula down for the rest of the employees. You've now successfully combined the information from the two separate sheets onto one sheet, linked by the employee's name.

It is commonly known by data networking technicians that a wired network for Internet connectivity is faster than Internet connectivity from a wireless router. But what is not commonly known is why. A router is a device that is used to connect one network, such as the Internet, to a Local Area Network (LAN) that has several connected devices such as computers. Wired Local Area Networks commonly use the Ethernet protocol for data communications. This protocol generally has bandwidth speeds from 10Mb/s (megabits per second) to 1000Mb/s with 100Mb/s being the most commonly used for networking computers in most homes and offices. The Ethernet data communication protocol uses full-duplex communication; that is, it can send and receive data at the same time.

Internet Service Providers mostly offer high speed broadband services up to 1.5Mb/s which are defined in terms of the maximum download speed because several common consumer broadband technologies have a slower maximum upload speed.

A router as the name implies, distributes data packets from the Internet to each requesting computer connected to it. This is done in an orderly manner by using high speed electrical switches. But wireless routers only provide wireless data connectivity using a half-duplex protocol (either send or receive data but not both at same time) and this makes them slower than wired Ethernet connections. But there are a few other factors that make wireless networks slower than wired networks due to signal and data processing overheads. The wireless signal can be susceptible to local interference from other nearby electrical equipment and this can cause the performance of the wireless network to degrade. When the wireless signal degrades, the wireless router must perform more data error corrections to maintain the integrity of the data and this causes delays in distributing the data to and from its destination and slows down the connection.

If wireless security protocols are also used to encrypt the data, this requires additional data processing to be undertaken that can also limit the performance by introducing inherent latency delays. Hard-wired networks do not need to have the data packets encrypted because they are physically secured in most buildings whereas wireless networks cover areas that are not secured and hence the data needs to be encrypted to secure it from unauthorized users.

For better performance Internet connectivity, use a wired cable if you can because it is physically secure, allows faster performance, costs less, and is not as susceptible to electrical interference compared to wireless connectivity.

In summary, if you use your computer for gaming, voice over IP, or real-time collaboration, then you are better off using a wired cable network connection to the router that connects to the Internet Service Provider.

New Computer - Old Email, or How to Back up and Transfer Your Email

If you have a brand new computer, or are thinking about buying one in the near future, one of the things that you will need to consider is how to transfer your emails from the old system to the new system.

At least once a week in my job as a help desk analyst, I am helping a customer set up Outlook Express or Outlook (there are other email clients that are used, but these two are the most popular) on their new computer. Once we are finished with the setup and they open it up to the Inbox the question is asked "where are my old emails?" The simple answer; "on your old computer". Then of course the follow up question is; "how do I get them to the new computer?"

Easy or Hard

New Computer - Old Email, or How to Back up and Transfer Your Email

The easiest way to do this is to back them up to an external hard drive or a compact disc before you make the switch to the new computer and then copy them over to the new computer in the exact same directory. The harder way is in the case of a crashed computer or the inability to access the files normally. I cover a bit of that in another article called 'Got Backups?' which you can find at my website.

Outlook Express

With Outlook Express your emails/email folders are stored on your hard drive in a directory that is buried way down deep in the Operating System. Instead of me giving you the full path to get there, it's easiest if you have Outlook Express open, click on Tools then Options.

Copy/Paste

Once you are here, click on the Maintenance tab and then click on the Store Folder button. This will pop another window with the location of your emails. Using your mouse, highlight the path and then right click and copy it.

You will then click on the Start button, then click Run, and then right click in the Open box and Paste the path. Click Ok.

This will open another window with your email files. Unless you have added other folders to your Outlook Express, the default folders will be here with a .dbx extension (Folders, Inbox, Sent Items, Deleted Items, and Drafts).

Backup

If you are going to write these files to a CD, you can burn them at this time by using your favorite burning software (providing that you have a CD burner installed in your computer).

To copy them to an external hard drive, you must now connect that device to your computer, create a folder on that drive (I usually call it Email Backups), copy the files from the old computer then paste the files into the Email Backups folder.

Import

Once you have the files copied to the CD or external drive, then you will go to the new installation of Outlook Express and import the messages. It would be nice if you could just copy them to the new OE and be done, but Microsoft doesn't like you to do it that way.

Open up OE and then click on File, Import, Messages. This will open a new window called Outlook Express Import. Choose Microsoft Outlook Express 6 then click Next. Click in the circle that says 'Import mail from an OE6 store directory'. Click OK. Then click 'Browse' and navigate to and select the directory you have saved them to. Click OK. The next window will give you a list of all of the email folders you have previously saved. Keep 'All folders' selected and click Next.

This will begin the process of importing all of your 'old' emails into your 'new' Outlook Express. Once it has finished you will have all of your old emails back! Cool, huh?

Outlook

The procedure to save and then import your emails in Outlook is similar, but different.

To start with, Outlook uses a file extension called pst, or Personal Folder File. Don't ask me why it's called that. Call Bill Gates and ask him.

Export

You will start on the old computer and with Outlook open, click on File, then 'Import and Export'. This opens the Import and Export Wizard. Choose 'Export to a file' then click Next. Choose 'Personal Folder File' here and then click Next. In the Export Personal Folders dialogue box you have your choice of what you want to do. The easiest is to keep the default choice of just the inbox, but if you want your sent items and all the other folders, choose the top item (Personal Folders) and then choose the 'Include subfolders' option and then click Next.

The next window will have a default location listed
(usually C:Documents and Settings'your computer name'Local SettingsApplication DataMicrosoftOutlookbackup.pst). I would suggest following the same procedure as for OE (see above). Then click 'Finish' and let it do it's thing.
Once you have your pst files backed up, move to the new computer and the import process will again be similar to OE.

Connect your external hard drive to your computer or insert the CD into the drive.

Import

Open Outlook, click on File, then Import and Export. In the Import and Export Wizard, this time choose 'Import from another program or file' then click Next. In the 'Import a File' window, scroll down and select Personal Folder File (.pst) and then click Next.

In the 'Import Personal Folders' window, click the Browse button and navigate out to the location of your backed up pst file, choose it and then click Next. Click 'Finish' and it will import all of your messages.

As expected, at next attempt to start Outlook, it gives an error that Outlook data file was not closed properly and so, Outlook is checking it for errors. Consequently, the system slows down. But unlike your expectations, the check doesn't complete. Each time when you check the right-lower corner of the screen, it shows something like:

'Data file check in progress...'

Explanation

Outlook is unable to recover from PST file corruption automatically. This can also be the result of a third-party add-in.

User Action

To check if this is the case of a third-party add-in, start Outlook in Safe Mode and try disabling the add-ins, one at a time. This will help you detect the problematic add-in causing the issue.

If disabling add-ins doesn't resolve your problem, try to repair the corrupted PST using Outlook's Inbox Repair Tool. This tool is accessible through an associated program file-Scanpst.exe. To run it, locate the file using Windows search option, double-click to open it, browse to the location of your PST file, and then click Repair. This will start the file scan process and prompt you a success message on repairing the file. However, if it cannot repair your file, the last alternatives is to restore from previous backup or run a third-party PST repair utility.

How To Become a Computer Technician

So you want to be a Computer Technician, but you don't know how? Well guess what, I am going to tell you how.

First things first, I am blunt and to the point. I hate typing and thinking about grammar, that is why I went into the Technology field.

I have over 10 years experience in web design, computer networking, hardware, software, java programming, Apple & IBM (pc) format computers, telephone work, home theatres etc, etc, etc, & I make a lot of money doing. So basically I know what I am talking about & I am going to give you some advice that took me 10 long, hard years to learn.

How To Become a Computer Technician

1. MOST IMPORTANT: LEARN how to find the right answers. This can be true for ANY field, ANY person works in. You do not need to know everything, and guess what, if you spent the next 10 years reading, going to school & obtaining certifications, you still wouldn't know all there is to know in the field of Technology. But if you can figure out what resources will help you find a solution for you the fastest, then you are on your way.

2. Go to school and/or get certifications. Of course you need to learn about computers, software, hardware etc to become a computer technician. Find something that fits you, something that makes you excited to go. 4 year schools are not for every one, so make sure they are right for you if you choose to go. In my 4 years in college the only thing I learned to do is program at Level II in Java (a blind monkey could program at that level) and drink a lot of beer. 2 year schools are good because the get straight to the point about the actual jobs you will be doing out in the REAL world. (I was offered a teaching position at one of these 2 year schools at the ripe old age of 25, I laughed in their face & said no because of the salary they were offering). Certifications are important regardless if you get a 2 or 4 year degree. They tell other people that have NO CLUE about technology that you, indeed have a clue about technology

Did you follow that?

A couple of certifications that I highly recommend are the A+, Networking + and any Microsoft Support Certification.

3. Be patient, with yourself and the people you work with. You will always be learning if you become a computer technician. The average lifespan for a particular model of technology (ie computers) is about 2 years. Meaning as soon as you buy it, it is OLD. Things change everyday in Technology and you have to keep up with it!

4. Have a Positive Attitude! Remember, when people call you or you are dispatched out to work on someone's computer, TV etc, they usually are frustrated. Most people will try to fix the issue themselves before calling anyone because they are cheap. By the time you or I get there they are ready to cry. A positive and friendly attitude will go an EXTREMELY LONG WAY. You will be their savior and they will tell all their friends about you. This point might be the most difficult, especially in Technology because not very many people understand how it works and because our lives are so dependent on it.

That is it, 4 simple steps.

These are the 4 things I have tried to do over the last 10 years. Trust me, I am no genius, not by a long shot. But I figured out how to find the right answer for the problem, combined with an education, some certifications and the right attitude, I have people knocking down my door for my services.
